Background
Engaging Borders Strategy Research and Development (SRD) Gte. is implementing the Delimi PROSPER Project with support from the Strengthening Peace and Resilience in Nigeria (SPRiNG) Programme. The project promotes youth-led peacebuilding, environmental resilience, civic participation, and constructive dialogue in communities across Plateau and Kaduna States.
As part of the project’s No-Cost Extension (NCE) period, Engaging Borders SRD seeks qualified vendors and service providers to support the successful delivery of the project’s end-of-project Policy and Learning Event.
The event will bring together government representatives, development partners, civil society organisations, community stakeholders, researchers, youth representatives, and media actors to review project findings, discuss lessons learned, and explore policy recommendations emerging from project implementation.
Purpose of this Call
Engaging Borders SRD hereby invites qualified firms, consultants, and event service providers to submit proposals for the provision of event support services for the Delimi PROSPER Project Policy and Learning Event.
The selected vendor(s) will support the planning, coordination, documentation, and successful delivery of a professional stakeholder engagement event in Kaduna State.
Scope of Services
The selected vendor(s) may be engaged for one or more of the following service categories:
Lot 1: Venue and Event Logistics
Services shall include:
- Provision of suitable event venue and meeting facilities
- Seating arrangements and venue setup
- Audio-visual equipment
- Public address system and microphones
- Power supply and backup arrangements
- Event branding and signage support
Lot 2: Catering and Participant Support
Services shall include:
- Refreshments and lunch for participants
- Water and beverage service
- Participant registration support
- Event materials distribution support
Lot 3: Photography, Videography and Documentation
Services shall include:
- Professional photography coverage
- Event videography
- Production of short highlight clips
- Documentation of proceedings
- Delivery of edited photographs and video files
Lot 4: Event Coordination Support
Services shall include:
- Event coordination and logistics assistance
- Participant support services
- Venue management support
- Liaison with service providers and event personnel
Expected Deliverables
Depending on the lot(s) applied for, vendors will be expected to deliver:
Venue and Logistics
- Fully prepared venue and meeting facilities
- Functional audio-visual systems
- Event branding and setup
Catering
- Refreshments and meals provided according to agreed specifications
- Service delivery report
Documentation
- High-resolution photographs
- Edited video files
- Event highlight video
- Documentation materials and media assets
Coordination
- Successful logistical support for event implementation
- Coordination report where applicable
Duration
Services are expected to be delivered in accordance with the schedule of the Delimi PROSPER Project Policy and Learning Event.
Vendors must demonstrate the capacity to provide reliable and timely services within the agreed implementation period.
Eligibility Requirements
Interested vendors must submit:
- Company profile or consultant profile.
- Evidence of relevant experience in event management, logistics, catering, media production, or related services.
- Portfolio of similar assignments completed within the last three years.
- Financial quotation for the applicable service lot(s).
- Evidence of business registration (where applicable).
- At least two references from previous clients.
